How to Book a Kenya Safari: Deposit, Balance and the Dates That Cost You Money

A leopard carrying a fresh kill in its mouth through the green grass, the raw wildlife experience you secure when you learn how to book a Kenya safar.

The message lands at 11:48pm Nairobi time. Three lines. A couple in Toronto want the Masai Mara in the first week of August and it’s mid-April. They’ve asked the question every traveller asks first, which is how to book a Kenya safari, and then two more: is it too late, and what do we pay and when?

We get that message most weeks. The short answer to all three: it isn’t too late; you pay 30% now and the balance 60 days before departure. Just under sixteen weeks is workable if you move now.

The detail is where trips quietly go wrong. Not because anyone hides anything. People simply don’t read the terms until something has changed.

So, we do the arithmetic with them. A departure on 4th August puts the balance due on 5th June. It also means the cancellation charge steps up from the deposit alone to 50% of the tour price on 6th May, which is three weeks after their message. Neither date is hidden. Neither is obvious either. A safari isn’t one payment. It’s a deposit, a balance and a ladder of cancellation dates, and your departure date decides where every rung sits.

Most booking advice stops at “pay a deposit and relax”. We think that’s lazy, and in a market where some operators exist only as a WhatsApp number it can be expensive. This guide runs the whole sequence from first enquiry to the arrivals hall at Jomo Kenyatta International Airport. We use the Booking Terms and Conditions Afrikan Accent Adventures operates under and quote the numbers exactly as written. Read it before you pay anyone anything, including us.

QUICK ANSWER | How do you book a Kenya safari?
Book a Kenya safari by requesting a quote, confirming the itinerary and paying a 30% deposit. Your booking is confirmed once we’ve received the deposit and issued a written Booking Confirmation. The balance is due 60 days before departure. Check your operator’s TRA license first.

How Do You Book a Kenya Safari, Step by Step?

You book a Kenya safari in eight steps. Most travellers skip step four and regret it. This is the order we’d follow if we were the guest.

Step 1: Fix your dates and party size before you pick a camp

Pick your dates and party size first. They drive price and availability more than any camp choice. A six-day Book-a-Seat group departure starts from USD 1,235. A four-day flying luxury safari at Kitirua Plains Lodge in Amboseli starts from USD 2,450. The camp follows.

Step 2: Request a quote

Use our free, no-obligation quote form or book a free consultation. A quote is valid for 14 days. It stays subject to the availability of accommodation, park entry, transport and third-party services at the time of confirmation.

Ask for it itemized. Park fees, accommodation and transport should sit on separate lines.

Step 3: Tailor the itinerary until it’s right

Yes. Change what you want now. We can adjust the price of an unconfirmed booking at any time. So, a quote is a good guide, not a locked price, until your booking is confirmed.

Step 4: Verify the operator before you pay

Ask for the TRA file number and check it yourself at verify.tra.go.ke. It takes two minutes. It applies to us as much as to anyone. Our guide on how to choose a safari operator in Kenya covers the wider checklist.

Step 5: Pay the deposit

Pay 30% of the total tour price, unless your invoice says otherwise. We email a personalized payment link with the invoice. You can also send a bank transfer. Payment alone doesn’t confirm a booking. It’s confirmed once we’ve received the deposit and issued a written Booking Confirmation or invoice.

Step 6: Check your Booking Confirmation within 48 hours

Check names, dates, camps, party size and meals. Names must match passports. Report any error within 48 hours. After that we can’t accept responsibility for errors that weren’t reported.

Step 7: Pay the balance 60 days before departure

Pay it no later than 60 days before departure. Miss it and we can treat the booking as cancelled by you. That brings the cancellation charges into play. Put the date in your calendar the day you pay the deposit.

Step 8: Sort documents, insurance and flights, then travel

Passport validity, the Kenya eTA, travel insurance and health requirements are your responsibility under our terms. We cover each one in the final section.

A quote is a good guide. A written Booking Confirmation is the only thing that means your safari is booked.

How Far in Advance Should You Book a Kenya Safari?

QUICK ANSWER | How far in advance should you book a Kenya safari?
Book a Kenya safari 9 to 12 months ahead for July to October, Christmas, New Year and Easter. Book 4 to 6 months ahead for the rest of the year. Anything inside 60 days is possible but needs full payment up front. Small camps and fly-in seats go first.

Book earlier than you think for the dates everyone wants. Book later than you fear for everything else.

The Masai Mara’s busiest stretch runs from July to October. That’s when the Great Migration is typically on the Kenyan side of the Mara River. Christmas, New Year and Easter fill because everyone’s holidays line up at once.

Our Booking Terms and Conditions single these periods out. Migration-season camps, Christmas, New Year and Easter travel, and air or rail tickets may need full, non-refundable payment at booking. Gorilla and chimpanzee trekking permits sit on the same list.

The logic is simple. The money is committed to a camp, an airline or a permit office the moment we confirm. Your quote or invoice says clearly when this applies.

When you travelBook aheadWhat to expect
July to October (Masai Mara migration season)9 to 12 monthsFull non-refundable payment may be required at booking
Christmas, New Year and Easter9 to 12 monthsSame, plus the earliest sell-outs at small camps
January, February and June6 to 9 monthsStandard 30% deposit and a wider choice of camps
March to May and November (rainy seasons)3 to 6 monthsStandard deposit and the most flexibility on camps

These windows are our operator guidance, not a published rule. If you’ve got one window and it’s August, send the inquiry this week. If you’re flexible, travelling just outside the peak lets you book later and choose from more camps.

Does booking early cost you flexibility?

No. Under our terms, booking early costs you very little. Cancel with more than 90 days to go and the charge is the deposit only. Book twelve months out and change your mind at day 100, and it costs 30% of the tour price. Book late and change your mind, and it costs far more.

Can you book a Kenya safari at the last minute?

Yes, subject to availability. Inside 60 days the full tour price is payable at booking. Within 24 hours of departure, we accept cash, bank deposit or M-PESA, because a transfer may not clear in time. Our site also runs Early Bird, Last Minute and Set Departure deal pages. Check them for live availability.

How Much Is the Deposit and When Is the Balance Due?

QUICK ANSWER | How much deposit do you pay for a Kenya safari?
The deposit for a Kenya safari with us is 30% of the tour price, non-refundable unless your invoice says otherwise. The balance is due no later than 60 days before departure. Book inside 60 days and you pay the full price at booking. Peak-season items may need full payment immediately.

What 30% looks like on real safaris

These are the starting prices currently listed on our site, per person. Your invoice sets the exact figures for your dates and party.

SafariFrom (per person)30% depositBalance 60 days out
4 Days Masai Mara Safari, Mara Elatia Camp, Mara TriangleUSD 1,440USD 432USD 1,008
4 Days Flying Luxury Amboseli Safari, Kitirua Plains LodgeUSD 2,450USD 735USD 1,715
12 Days Wild Frontiers of Northern Kenya SafariUSD 12,400USD 3,720USD 8,680
EXPERT NOTE |
The 30% figure is the default, not the law of the land. The invoice is where any exception is written, so read the invoice before you read anything else. If it says something different from the website, the invoice is the document that governs.

The dates that matter on a 4th August departure

Work backwards from your own departure date. You’ll find four dates that matter. Here they are for a 4th August trip.

DateWhat happens
5th MayLast day to cancel and lose the deposit only
6th MayCancellation charge rises to 50% of the tour price
5th JuneBalance falls due. The cancellation charge also rises to 75%
5th JulyCancellation charge rises to 100%
4th AugustDeparture

Can the price change after you’ve paid?

Yes, in narrow cases. After confirmation we can pass on increases, we don’t control. These are higher national park, reserve or conservancy fees, new government taxes or levies, currency movements above 5% and fuel surcharges from airlines or transport providers.

If an increase exceeds 10% of the total tour price, you can cancel within 7 days of being notified. You receive a refund of all monies paid, less non-refundable third-party costs already incurred.

What does the price include and exclude?

Unless stated otherwise, prices include the accommodation specified and transport in a safari vehicle with an English-speaking driver-guide. They include park and reserve entrance fees for listed activities, meals as itineraries and airport transfers where stated.

They exclude international and domestic flights not itemized, visa and Kenya eTA fees and travel insurance. They also exclude tips, drinks, laundry, personal items and optional extras such as balloon safaris.

How Can You Pay for a Kenya Safari: Card, Bank Transfer or Cash?

You can pay by card link or bank transfer. Both work from anywhere in the world.

Our payment methods page has the full detail. Quotes are in US dollars, Kenya shillings or both, as your invoice shows. Current exchange rates apply. If you pay in another currency, the rate our bank applies on the date of receipt is the one that counts.

Your situationBest methodWhy it works
Standard booking on a normal timelineCard via payment link (Triply for the lowest surcharge)Fast, secure and payable from anywhere
Large or premium trip, outside KenyaSWIFT transferNo card surcharge and no card limits
Within Kenya, standard bookingLocal transfer or branch depositSurcharge-free and usually reflects within a day
Within Kenya, large payment needed fastRTGSSame-day clearance in most cases
Within 24 hours of departureCash, M-PESA (current currency exchange rates applicable), bank transfer or bank depositCash is receipted on the spot. Tell us which route you’ll use

Card payments: Visa, Mastercard and American Express

Yes. Both credit and debit cards are accepted. Once your booking is ready for payment, we email a personalized secure payment link with your invoice. The link opens an encrypted page where you enter your own card details. They never pass through our hands.

We generate links through three licensed platforms: I&M Bank, our primary banking partner, Pesapal and Triply.

A small processing surcharge applies. The platform charges it, not us, and we tell you the exact amount before you pay. Triply was added to cut that cost. Its surcharge runs 2.5% lower than standard card processing fees. Payment links are time-limited. If yours expires, we send a fresh one.

Bank transfers: SWIFT, local and RTGS

  • SWIFT: for payments from outside Kenya. We provide our account name, number, branch and SWIFT/BIC code for our I&M Bank account. Expect 2 to 5 working days to reflect.
  • Local transfer or branch deposit: for payments inside Kenya. Transfers usually reflect within a few hours to one working day. For an over-the-counter deposit at any I&M Bank branch, keep the stamped slip and send us a photograph.
  • RTGS: a same-business-day interbank service, often within a few hours, suited to larger payments when time is short.

Ask your bank to send international payments with charges marked OUR. That stops intermediary fees shaving the amount we receive. Under our terms you carry bank charges, card processing fees and currency conversion costs unless we’ve agreed otherwise.

After paying, email us your transfer confirmation or SWIFT advice. We acknowledge receipt in writing and issue an official receipt.

EXPERT NOTE |
For a large booking we’d pick a SWIFT transfer over a card every time, because there’s no surcharge and no card ceiling to hit. Mark the charges as OUR and send us the SWIFT advice the day you pay. Funds take two to five working days to reflect, and that advice is what lets us acknowledge receipt while they travel.
Hellen Asiko, Director & Guest Experience Curator

Cash and last-minute payments

Only for last-minute bookings within 24 hours of departure. Cash and M-PESA exist for the guest who books at the last minute, when a transfer may not clear in time.

M-PESA is Kenya’s mobile money service and our terms list it as an accepted method. Ask our reservations team before you rely on it. Current exchange rates apply to any payment made in Kenya shillings.

Cash is accepted in Kenya shillings or US dollars. US notes must be of a recent series 2013 onwards and in good condition. We tell you in advance, by name, who’s authorized to receive payment. Every cash payment is receipted on the spot.

What Is the Kenya Safari Cancellation and Change Policy?

QUICK ANSWER | What is the cancellation policy for a safari?
Our cancellation policy is a sliding scale based on notice before departure. More than 90 days: deposit only (30%). 90 to 61 days: 50%. 60 to 31 days: 75%. 30 days or fewer: 100%. Cancel in writing, and note that permits and air tickets are never refundable.

The numbers below match the Booking Terms and Conditions exactly. Charges are a percentage of the total tour price. The USD 5,000 column is an illustration, not a quote.

Notice before departureChargeOn a USD 5,000 tripIf you depart 4th August
More than 90 daysDeposit only (30%)USD 1,500Cancel by 5th May
90 to 61 days50% of tour priceUSD 2,5006th May to 4th June
60 to 31 days75% of tour priceUSD 3,7505th June to 4th July
30 days or fewer, or no-show100% of tour priceUSD 5,000From 5th July

The day your balance falls due is the day the cancellation charge reaches 75%. That’s not a trap. It’s a calendar nobody shows you.

How to cancel properly

Cancel in writing. The Lead Client must send it, and email is acceptable. It takes effect on the date we acknowledge receipt, not the moment you press send. So, ask for the acknowledgement. Once travel has begun there’s no refund for any unused portion of a tour. That includes leaving voluntarily or being unable to continue because of illness.

What is never refundable?

Costs already irrecoverably committed to third parties on your behalf are 100% non-refundable at any time. That includes gorilla and chimpanzee permits, air and rail tickets and non-refundable camp or lodge deposits. This sits on top of the scale above. It’s why peak-season and permit bookings carry heavier commitments.

Can you change dates or transfer a booking?

Yes, subject to availability. Request amendments to dates, accommodation, party size or itinerary in writing through the Lead Client. An administration fee of USD 50 per amendment may apply, on top of any price change and any supplier charges. Amendments within 60 days of departure may be treated as a cancellation and rebooking.

If someone in your party can’t travel, the booking can be transferred to another suitable person. We must be told at least 30 days before departure and you meet all supplier costs. Certain permits and air tickets can’t be transferred at all.

What if we change or cancel your safari?

Minor changes can happen without liability. An example is swapping to accommodation of a similar or higher standard. We tell you as soon as we can.

For a significant change before departure, you have three choices. A significant change means a different destination, a material downgrade in accommodation category or a new departure date. You can accept it, take a comparable alternative or cancel for a full refund less irrecoverable third-party cost.

If we cancel for reasons other than your default or force majeure, you receive a full refund of all monies paid to us. Force majeure covers events such as civil unrest, natural disasters, airspace closures and pandemics. In those cases, refunds are limited to what we can recover from suppliers. We may offer a credit note or postponement at our discretion.

Why travel insurance is part of booking

Comprehensive travel insurance is a condition of booking with us. It must cover at minimum medical expenses with emergency evacuation or repatriation, cancellation and curtailment, personal accident, and loss of baggage and personal effects.

Buy it when you pay the deposit. That’s when the cancellation scale starts working against you. Many policies also require cancellation cover to be bought within a short window of your first trip payment, so check yours. Our Kenya safari travel insurance guide explains what to look for.

Is It Safe to Pay a Kenya Safari Operator Online?

QUICK ANSWER | Is it safe to pay a Kenya safari operator online?
Yes, if you verify the operator first and pay only through official channels. Check the TRA license at verify.tra.go.ke, confirm a Kenyan office and never pay into a personal account. Card links and bank transfers leave a paper trail.

Yes, online payment is safe when you verify the operator first. The risk isn’t the payment. It’s paying a company that isn’t what it says it is.

Kenya’s Tourism Regulatory Authority licenses tour operators and runs a public tool for checking them. Our full checklist is in How to Choose a Safari Operator in Kenya. This is the payment-specific version.

How to check a TRA license in four steps

  • Ask the operator for its TRA file number. A real operator gives it without hesitation.
  • Open verify.tra.go.ke, the Authority’s License Verification System.
  • Enter the file number. Companies are searched by file number and individuals by ID number.
  • Check that the details shown match the company name on your invoice. If anything doesn’t match, ask before you pay. TRA lists info@tra.go.ke and 0111161200 for verification queries.

If an operator won’t give you a number, you’ve learned what you needed to know. KATO membership is a useful second signal. Members are covered by the association’s Bond Scheme for client deposits. It isn’t a legal requirement to operate.

How to pay safely

  • Pay through an official link or a named company bank account. Card details go on the payment platform’s encrypted page, never into an email, a message or a phone call. We will never ask for them any other way.
  • Get an invoice first. Every payment, whether deposit, balance or full settlement, should come with an official receipt and a written Booking Confirmation.
  • Verify bank details by phone. If account details change or arrive by a casual email, call a number you found on the company’s own website, not the one in the message.
  • Walk away from pressure. Full payment demanded before a written itinerary, a personal account, crypto or an informal channel with no invoice are all reasons to stop.

Our own rule is the same one we ask you to apply to everyone else. We’ll never change our bank details by a casual email, and we’d rather you called to check than assumed.

EXPERT NOTE |
Do the TRA check before you ask for a quote, not after you’ve fallen for the itinerary. By the time you’re picturing the camp, you’ll talk yourself past a missing file number. Two minutes at the start protects a deposit that could be thousands of dollars.

How Long from Enquiry to a Confirmed Trip?

Enquiry to confirmation takes as long as your choices and payment method allow. We can’t give one honest number, because most of the delay is outside our desk.

A set departure is a different animal from a twelve-day tailor-made route. The payment method you choose is often the slowest step. What we can give you is the sequence and the fixed rule at each stage.

StageWhat happensFixed rule or timing
1. EnquiryYou send dates, party size and interestsFree and no obligation
2. QuoteWe send an itinerary and priceValid for 14 days
3. TailoringWe adjust until it’s rightUnconfirmed prices can change
4. DepositYou pay 30% by card link or transferCard reflects almost instantly, local transfer a few hours to a working day, SWIFT 2 to 5 working days
5. Written confirmationWe issue your Booking ConfirmationCheck it within 48 hours
6. BalanceYou pay the remainder60 days before departure
7. DocumentsPassport, eTA, insurance, healthStandard eTA processing up to 72 hours

The practical lesson: if your dates are tight, pay the deposit by card link. Paying by SWIFT adds days.

On a peak departure, days matter. Camps and fly-in seats don’t wait for your transfer to land. A quote only holds while availability does.

What Happens After You Book: Documents, Flights and Arrival?

After booking, you need four things: a valid passport with your Kenya eTA, travel insurance, flights and your balance paid on time. Under our terms each one is your responsibility. Each has a way of going wrong at an airport counter.

Passport and Kenya eTA

Your passport must be valid for at least six months beyond your return date. It needs sufficient blank pages. UK, US and EU citizens must hold an approved Kenya eTA before departure.

Apply only at etakenya.go.ke. The standard fee is USD 30 per traveller with processing up to 72 hours. Expedited service adds USD 100. Apply at least two weeks ahead. Apply for every family member, including infants.

Our Kenya eTA 2026 guide for UK, US and EU travellers walks through the application. Our Kenya entry requirements guide covers the full document checklist. If you’re denied boarding or entry because of incomplete documents, our terms give no refund. Don’t leave this late.

Travel insurance and health

Send us proof of insurance if we ask for it. We may ask before departure. Meet any yellow fever certificate requirements where they apply. Take medical advice on malaria prophylaxis well ahead of travel.

Our travel insurance guide covers the cover you actually need.

Flights

Book them after you hold a written Booking Confirmation. International and domestic flights are excluded unless itemized in your price. Don’t buy non-refundable international flights first.

If your itinerary includes a bush flight from Wilson Airport, small aircraft typically restrict luggage to about 15kg. Soft bags are far easier to load than hard suitcases. Ask us for your exact allowance.

Arrival and tipping

Where airport transfers are stated in your itinerary, your driver-guide meets you on arrival at Jomo Kenyatta International Airport.

Tips are excluded from the price. Our baseline for a driver-guide is USD 15 per person per day, within a range of USD 10 to 20. It’s entirely at your discretion.

EXPERT NOTE |
Tell us everything at booking: allergies, mobility, a child’s age, the honeymoon. We pass special requests to the suppliers, but they’re only guaranteed once they appear in your written Booking Confirmation. If it isn’t in writing, treat it as a request, not a promise.
Hellen Asiko, Director & Guest Experience Curator

Booking for a Group, Family or Honeymoon: Who Signs and Who Pays?

The Lead Client (tour leader) signs and pays. They must be at least 18. They accept our terms on behalf of everyone named in the booking, so the whole party is bound by what they agree.

Make sure that person has the authority and has shown the terms to everyone.

  • Cancelling or amending: only the Lead Client can do it, in writing.
  • Children: welcome on most tours, but some camps and activities set minimum ages. Gorilla trekking requires a minimum age of 15, and some walking safaris and balloon flights set their own limits. Minors may need birth certificates or consent letters at immigration.
  • Medical or mobility needs: tell us at booking. We can’t guarantee every itinerary, vehicle or room suits every need, but we can only plan around what we know.
  • Problems on safari: tell your guide or our office immediately so we can fix it on the spot. A written complaint must reach us within 28 days of the tour’s end.

Six Booking Mistakes That Cost Real Money

The costliest mistakes are paying before reading, buying flights first and treating the balance date as soft. Here are six to avoid.

  • Paying before reading the Booking Confirmation. You have 48 hours to flag errors after receiving it. Use them.
  • Buying flights first. Airline tickets are the least forgiving cost in the whole trip.
  • Treating the balance date as soft. Miss it and the booking can be treated as cancelled by you.
  • Leaving insurance until later. It’s a condition of booking, and cancellation cover is worth most before the scale starts moving.
  • Booking peak dates late. It’s the combination that carries full non-refundable payment and the thinnest availability.
  • Paying through whatever link arrives. Verify the operator and the account first.

Frequently Asked Questions

How do you book a safari in Kenya?

You book a safari in Kenya by requesting a quote, agreeing the itinerary and paying a 30% deposit, after which we issue a written Booking Confirmation. Check that confirmation within 48 hours, pay the balance 60 days before departure and sort your eTA, insurance and passport. Start with our free quote form.

How much deposit do you pay for a Kenya safari?

The deposit is 30% of the total tour price, and it’s non-refundable unless your invoice states otherwise. On a USD 5,000 safari that’s USD 1,500. Certain peak-season items, including migration-season camps, Christmas, New Year and Easter travel, and gorilla permits, may need full non-refundable payment at booking.

How far in advance should you book a Kenya safari?

Nine to twelve months ahead for July to October, Christmas, New Year and Easter. Three to six months ahead is enough for the rainy seasons. These are our guidance windows rather than published rules, and bookings inside 60 days of departure need the full price at booking.

What is the cancellation policy for a Kenya safari?

Cancellation charges rise with how close you are to departure. They run from the 30% deposit with more than 90 days’ notice to 100% at 30 days or fewer, with 50% and 75% in between. Third-party costs such as permits and air tickets are never refundable. Read the full Booking Terms and Conditions.

Can you pay for a Kenya safari by card or M-PESA?

Yes, by card, and by bank transfer. Card payments run through secure links from I&M Bank, Pesapal or Triply, and a platform surcharge applies. M-PESA and cash are for last-minute bookings within 24 hours of departure. Current exchange rates apply. See our payment methods page.

Is it safe to pay a safari operator online?

It’s safe when the operator is verified first. Check the TRA license at verify.tra.go.ke, insist on an invoice and pay only to a named company account or an official payment link. Never send card details by email or message.

Is the Kenya safari deposit refundable?

No, the 30% deposit is non-refundable under our terms. If we cancel your safari for reasons other than your default or force majeure, you receive a full refund of all monies paid to us. If an unexpected price rise exceeds 10% of your tour price, you can cancel within 7 days of notification for a refund less non-refundable third-party cost.

Can you change dates or names after booking?

Yes, subject to availability. An administration fee of USD 50 per amendment may apply plus any supplier charges. Name changes need at least 30 days’ notice before departure, and permits and some air tickets can’t be transferred at all.

Do you need travel insurance to book a Kenya safari with Afrikan Accent Adventures?

Yes, comprehensive travel insurance is a condition of booking with us. It must cover medical costs and emergency evacuation, cancellation and curtailment, personal accident and baggage loss. See our travel insurance guide.

Can you book a Kenya safari at the last minute?

Yes, subject to availability. Inside 60 days of departure you pay the full tour price at booking. Within 24 hours of departure, we accept cash or M-PESA for genuine last-minute cases.
